This notice explains how NOVIQ IT LTD uses personal information collected through the NOVIQ People website and our sales and contact interactions.
1. Who we are
This website is operated by NOVIQ IT LTD, trading as NOVIQ People. NOVIQ IT LTD is registered in England and Wales (company number 17181051), with its registered office at 66 Paul Street, London, EC2A 4NA, United Kingdom.
NOVIQ IT LTD is the data controller for personal information collected through this website, including the Contact, Book a Demo and Get Started forms, direct sales enquiries and general website communications.
This notice covers the public website and sales interactions only. It does not replace the agreement or data processing terms that apply to customers using the NOVIQ People HR platform (see section 12).
2. Contact
Privacy questions can be sent through our contact form, or by post to our registered office: 66 Paul Street, London, EC2A 4NA, United Kingdom.
3. Information we collect through the website
Depending on the form you use, we may collect:
- Your name and company name
- Your work email address
- Your telephone number, where supplied
- Your organisation's approximate employee count
- Your company website and current HR system, where supplied
- Whether your organisation uses Microsoft 365

- Limited technical information needed to operate and protect the website, such as information used to detect spam, repeated submissions and abuse
We do not ask for passwords, Microsoft account credentials, payroll data, employee records or payment card details through this website.
4. How we use your information
- Responding to your enquiry
- Arranging and delivering demonstrations
- Preparing sales discussions and providing information you have requested
- Following up a Get Started request to help set up an account
- Operating and securing the website
- Preventing spam and abuse
- Meeting our legal obligations
5. Lawful bases
Under UK data protection law, we rely on:
- Legitimate interests — responding to business enquiries, arranging demonstrations, and operating and protecting the website.
- Steps before entering into a contract — where you ask us to help set up a NOVIQ People subscription.
- Legal obligation — where we must keep or disclose information by law.
We do not rely on consent for ordinary enquiries. If we rely on consent for a specific activity in future, we will ask for it separately and you may withdraw it at any time.
6. Marketing
Submitting an enquiry does not sign you up to marketing. We will only contact you about your enquiry. If we introduce a newsletter or other marketing in future, it will have its own sign-up and a simple way to opt out.
7. Sharing your information
We do not sell your personal information. We may share it with the following categories of recipients, only as needed:
- Hosting and cloud infrastructure providers that run this website and store enquiries
- Email service providers, where used to deliver enquiry notifications
- Professional advisers, such as accountants or legal advisers
- Authorities, where required by law
If we introduce online payments, the payment provider will be added to this notice.
8. International processing
Some of our technology suppliers may process information outside the United Kingdom. Where this happens, we take steps to ensure appropriate safeguards required by UK data protection law are in place.
9. How long we keep information
We keep enquiry information only for as long as necessary for the purpose it was collected — for example, to deal with your enquiry and any resulting relationship — and for any period required by law or to maintain reasonable business records. Information that is no longer needed is deleted or anonymised.
10. Your rights
Depending on the circumstances, you may have the right to:
- Access the personal information we hold about you
- Ask us to correct inaccurate information
- Ask us to erase your information
- Ask us to restrict how we use your information
- Object to our use of your information, including where we rely on legitimate interests
- Receive your information in a portable format
- Withdraw consent, where we rely on consent
These rights are not absolute and some apply only in certain circumstances. To make a request, use the contact details in section 2.
You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk. We would appreciate the chance to address your concerns first.
11. Security
We use reasonable technical and organisational measures to protect personal information against loss, misuse and unauthorised access. No website or online service can be guaranteed to be completely secure.
12. NOVIQ People customer HR data
Where an employer subscribes to NOVIQ People:
- The employer generally decides how and why its employees' information is processed, and generally acts as the controller.
- NOVIQ IT LTD normally processes that information on the employer's behalf, in line with the applicable customer agreement and data processing terms.
- Employees with questions about how their employer uses their HR information should normally contact their employer first.
13. Cookies
See our Cookie Policy for the cookies and similar technologies this website uses.
